Role of the Office of the City Clerk

The Office of the City Clerk is responsible for a variety of corporate, administrative and legislative functions putting it in continual contact with all municipal departments, elected officials, other levels of government and the general public.

The City of Hamilton's Office of the City Clerk is responsible for the following services:

• Provides legislative support to Committee and Council
• Council Opening Prayer
• Provides legislative support to Sub-Committees and Volunteer Committees that report to Council
• Voluntary Lobbyist Registry
• Records Council and Committee proceedings and maintains the official records of the City of Hamilton (by-laws,  agendas, and minutes)
• Coordinates all requests received under the Municipal Freedom of Information and Protection of Privacy Act
• Administers the Provincial Offences Court (POA)  Provincial Offences Forms
• Information about Birth Registration
• Registers deaths
• Issues marriage licences
• Coordinates the conduct of municipal elections every four years
• Serves as a general information office with respect to a broad range of inquiries from the public
• Processes official correspondence to and from Council
• Internal print and mail services
